Creating Checklist Templates
Templates let you define a checklist once and use it across multiple jobs. When your service process changes, update the template and all new jobs will use the updated checklist.
Creating a Template
- Go to Settings > Checklists
- Click + New Template
- Enter a template name (e.g., "Standard Lawn Service")
- Add a description (optional but helpful)
- Add your checklist items
- Click Save Template
Naming Your Templates
Use clear, specific names that your team will recognise:
- "Lawn - Standard Residential"
- "Lawn - Large Property (1+ acre)"
- "Pool - Weekly Service"
- "Pool - Green Pool Recovery"
- "Garden - Monthly Maintenance"
Avoid vague names like "Template 1" or "New checklist".
Adding Checklist Items
Click Add Item to add each task to your checklist.
Writing Good Items
Be specific - Tell your team exactly what to do:
- "Mow front and back lawns" (specific)
- "Mow" (too vague)
Use action verbs - Start each item with what to do:
- "Check irrigation for leaks"
- "Clean skimmer baskets"
- "Apply slow-release fertiliser"
Keep items achievable - Each item should be one distinct task:
- "Edge garden beds" (clear)
- "Edge and weed and mulch all areas" (too broad - split into separate items)
Reordering Items
Drag items to reorder them. Put items in the order your team should complete them:
- Setup/arrival tasks first
- Main work in logical sequence
- Cleanup/departure tasks last
Editing Templates
- Go to Settings > Checklists
- Find the template
- Click on it to open
- Make your changes
- Click Save
Changes Apply to New Jobs Only
Editing a template doesn't change checklists on existing jobs or visits. Those keep the items they had when they were created.
Duplicating Templates
Create variations quickly by duplicating:
- Open an existing template
- Click More > Duplicate
- Give the copy a new name
- Modify as needed
- Save
This is useful for creating size variations:
- "Lawn - Small" (5 items)
- "Lawn - Medium" (7 items)
- "Lawn - Large" (10 items)
Deleting Templates
- Go to Settings > Checklists
- Find the template
- Click Delete
- Confirm deletion
TIP
Deleting a template doesn't affect jobs that already use it. Those jobs keep their checklist items.
Template Tips
Start Small
Create templates for your 3-5 most common services first. You can always add more later.
Get Team Input
Your field crew knows what steps are actually needed. Ask them what should be on each checklist.
Review Regularly
Check your templates quarterly:
- Are items still relevant?
- Should new steps be added?
- Can any items be removed or combined?
Include Quality Checks
Add items that ensure quality:
- "Take before photo"
- "Take after photo"
- "Check work from street view"
- "Confirm gate is locked"
Consider Safety
Include relevant safety items:
- "Check for hazards before starting"
- "Wear PPE when spraying chemicals"
- "Secure equipment before leaving"
