Google Calendar Sync
Coming Soon
Google Calendar sync is currently in development and will be available in an upcoming release.
What It Does
Google Calendar sync automatically keeps your Google Calendar up to date with your YardPilot schedule. Each team member connects their own Google account and gets a dedicated YardPilot Visits calendar.
Key Features
- Automatic event creation -- When a visit is scheduled, it appears in Google Calendar
- Reschedule sync -- Move a visit in YardPilot and the calendar event updates automatically
- Completion tracking -- Completed visits are marked as "Done" with a green colour
- Cancellation cleanup -- Cancelled visits are removed from Google Calendar
- Per-user connections -- Each team member connects their own Google account
How It Will Work
- Go to Settings > Connected Apps > Google Calendar
- Click Connect Google Calendar
- Authorise YardPilot to access your Google Calendar
- A new YardPilot Visits calendar is created in your Google account
- Visits assigned to your team sync automatically
What Syncs
| YardPilot Event | Google Calendar Action |
|---|---|
| Visit scheduled | Event created (within 14-day window) |
| Visit rescheduled | Event updated with new date/time |
| Visit completed | Event marked as "Done" with green colour |
| Visit cancelled | Event removed from calendar |
Event Details
Each Google Calendar event includes:
- Title: Visit number and property street address
- Location: Full property address (enables Google Maps directions)
- Time: Scheduled start time and estimated duration
- Description: Visit notes and customer details
One-Way Sync
YardPilot is the source of truth. Changes made directly in Google Calendar (edits, deletions) are not reflected back in YardPilot.
