Cancelling Jobs

Sometimes you need to cancel a job - the client may have changed their mind, moved away, or the work is no longer needed. This guide explains how cancellation works and what happens to your data.

How to Cancel a Job

  1. Open the job you want to cancel
  2. Click the More Actions menu (three dots)
  3. Select Cancel Job
  4. Confirm the cancellation

WARNING

Cancellation cannot be undone. If you need to temporarily pause work, consider putting the job On Hold instead.

What Happens When You Cancel

Job Status

The job is marked as Cancelled and will:

  • No longer appear in active job lists
  • Still be accessible via filters or search
  • Retain all history for reporting and auditing

Scheduled Visits

When you cancel a job, visits are handled based on their status:

Why preserve some visits?

Completed and in-progress visits represent real work that may need to be invoiced. Deleting them would lose billing records and crew time tracking data.

  • Time entries on preserved visits remain intact
  • Expenses linked to the job are kept
  • Invoices already created are not affected
  • Notes and attachments are preserved

TIP

Use Cancel for legitimate business cancellations. Use Delete only for jobs that should never have existed (duplicates, test entries).

Reporting

Cancelled jobs appear in:

  • Cancellation reports - track cancellation rates and reasons
  • Revenue reports - as lost potential revenue (if quoted)
  • Client history - full job history including cancellations

FAQ

Can I cancel a job with completed visits?

Yes. The completed visits (and their time/expense records) are preserved. Only future scheduled visits are removed.

What if a crew is currently working on a visit?

In-progress visits are preserved. The crew can complete their current work. You may want to notify them that no further visits will be scheduled.

Can I undo a cancellation?

No. If you cancelled by mistake, you'll need to create a new job. Consider using On Hold if you're unsure.

Does cancellation affect invoices?

Existing invoices are not affected. If you haven't invoiced for completed work yet, you can still create an invoice for those visits.
